1. Who we are

8eonAI, established at Heikestraat 5, 5386 LA Geffen, registered with the Dutch Chamber of Commerce under number 96119578, VAT number NL237945216B01, is the data controller for the personal data collected through this website. Questions about this policy or about your data: info@8eon.nl.

2. Which data we process

If you book a call or get in touch

  • Name, email address and company name
  • The answers you give in the booking form (such as your niche and where you currently lose time)
  • The content of your emails and the calendar appointment

If you visit our website

  • Technical data your browser sends: IP address, browser type, device and pages visited
  • Analytics data, if you consent to it (see the cookie policy)

If you are a client

To build and maintain dashboards, agents and automations we are given access to the client's systems, accounts, API keys and login details, and therefore possibly to personal data of their clients or employees. For that data we act as processor and not controller. The arrangements for that are set out in the data processing agreement, which forms part of every assignment.

4. With whom we share data

We do not sell your data. We do engage service providers:

  • Hosting: for running this website
  • Calendly: for scheduling calls. Established outside the EU; the transfer is covered by the European Commission's standard contractual clauses.
  • Analytics: only with your consent
  • Email and accounting software: for correspondence and invoicing
  • Providers of AI models and cloud infrastructure (such as OpenAI, Anthropic, Google and Microsoft/Azure), solely when carrying out assignments, never for data of website visitors

A data processing agreement has been concluded with each of these parties.

5. Retention periods

  • Contact and enquiry data with no follow up: 2 years
  • Data relating to an assignment and invoices: 7 years (statutory tax retention period)
  • Analytics data: 14 months
  • Login details and API keys received from clients: deleted within 30 days after the agreement ends, unless retention is legally required
  • Data for which we act as processor: in accordance with the data processing agreement

6. Your rights

You have the right to access your data, have it corrected or deleted, object, withdraw your consent and receive your data in a portable form. Send your request to info@8eon.nl, and you will receive a reply within four weeks. If you disagree with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority.

7. Security

We take appropriate technical and organisational measures: encrypted connections, role based access, two factor authentication on accounts with client access, and separate storage of login details in a password vault. Systems we build for clients run in the client's own environment.

8. Changes

We may amend this policy. The current version is always shown on this page, with the date of the most recent change at the top.
